Refunds and Cancellation
Refund, cancellation, rescheduling, and deposit terms for Reason Space audit engagements.
These terms apply to paid engagements for application audits and related reviews of risk control monitoring applications. They do not create a consumer retail returns process for goods we do not sell.
Refund eligibility
Fees already paid may be refunded in whole or in part according to the timing of cancellation and how much fieldwork has begun, as set out below and in your engagement letter. If the engagement letter and this page differ, the engagement letter controls.
Timeframe to request
Cancel or request a refund in writing to hello@reasonspace.digital. We confirm receipt within three business days.
Full refund
A full refund of amounts paid is available if you cancel more than fifteen business days before the scheduled fieldwork start and we have not begun billable preparation beyond the complimentary enquiry response.
Partial refund
If you cancel between fifteen and five business days before fieldwork start, we retain the deposit (typically 30%) to cover reserved auditor time and refund any additional prepayments. If you cancel fewer than five business days before start, or after fieldwork has begun, fees for work already performed and the deposit are non-refundable; unused prepaid balances for work not started may be refunded at our discretion after accounting for irreversible preparation.
Non-refundable items
- Scoping workshop fees once the workshop has been delivered
- Third-party costs expressly agreed in writing (for example specialised translation booked at your request) after those costs are incurred
- Deposits where cancellation falls inside the partial-refund windows above
Work already started
Once configuration review, interviews, or sample testing has started, completed portions are charged. We provide a status summary of completed versus remaining work when calculating any partial refund.
Deposits
Fixed-fee engagements typically require a 30% deposit to reserve dates. The deposit is applied to the final invoice. It is refundable only under the full-refund conditions above.
Rescheduling
You may reschedule once without penalty if you give at least ten business days’ notice and alternative dates within ninety days are agreed. Further reschedules or shorter notice may incur a rescheduling fee of up to 10% of the engagement fee or forfeit of deposit, as stated in the engagement letter.
No-shows
If key client attendees fail to attend scheduled walkthroughs without timely notice, that day may be charged as delivered. Repeated no-shows allow us to pause the engagement and invoice for work to date.
Purchased materials
We do not sell physical products. Document templates created specifically for your engagement remain subject to the engagement letter’s IP terms; fees for delivered work product are not refundable once delivered.
Refund method and timing
Approved refunds are returned to the original payer by bank transfer within twenty business days after written approval. We do not refund in cash.
